ODOC takes steps to streamline visitation process

The Oklahoma Department of Corrections has created a new Visitation Unit to make it easier for families and friends to stay connected with their loved ones in prison. The new system began Dec. 1.

Agency leaders say visiting is an important part of rehabilitation, but the current process has been slow and confusing. The new unit will handle all visitation applications and scheduling across the state.

“With the size of our incarcerated population, visitation has always been a cumbersome process for families and ODOC staff,” ODOC Director Justin Farris said. “We heard the complaints and knew we needed a more efficient process to better serve those in our care and their loved ones. By creating this specialized unit, it allows facility staff to focus on their duties and reduces repetitive tasks that interfere with their daily responsibilities.”

ODOC processes about 1,200 visitation applications and more than 7,000 visits each month. The agency said those numbers show why the old system needed an update.

For many years, applying to visit someone in prison meant filling out paper forms and mailing them to the facility. Staff had to manage these forms while also doing their regular duties, which often caused delays.

Under the new system, applicants can fill out an online form and upload documents, such as a photo of a driver’s license, which should speed up approval times and cut down on paperwork. Paper applications will still be accepted at ODOC headquarters in Oklahoma City.

Scheduling visits also has been difficult, with each facility doing things differently. The new Visitation Unit creates one streamlined system for the entire agency. During normal business hours, a team of seven employees will answer calls, schedule visits, and process applications.

“We know there will be a learning curve with this new process, but we’re committed to improving the visitation experience,” ODOC Chief of Operations Jason Sparks said. “This change will benefit everyone involved, and we appreciate the public’s patience as we refine operations.”
